Reference Check: Sample Report 11: Reference Won't Return Calls
Background: Sometimes we are not able to interview a reference. Almost always this is because the reference does not answer his phone and does not return phone messages left for him. Below is a sample report we send to clients facing this problem. Note that this client was puzzled by the fact that her former supervisor didn't return the phone calls because she had a good relationship with him and received excellent performance reviews. Her words, "I can't believe he looked directly at me and smiled and told me he would be a reference for me and would do everything he could to help me find a new job. But he can't be bothered to take a few minutes out of his day to return a phone call!"
Summary: Over a two week period I tried to contact and interview Mr. [name deleted] but I was not able to reach him. He did not respond to four voice mails left on his system. I believe that my experience is what a typical employer trying to do a reference check on you experiences with this reference. This report outlines my efforts to contact your reference during the past two weeks.

You placed your order for a reference check around 2:00 p.m. on this date. I phoned your reference around 3:30 p.m. and again at around 4:30 p.m. and reached his voice mail both times. I did not leave a message at this time because I wanted to try and reach him in person.

I called your reference around 10:00 a.m.; 11:00 a.m.; 1:30 p.m.; and 2:30 p.m. and reached his voice mail each time. Around 3:15 p.m. I left a voice mail asking him to call me. I told him I was with (name of company) and needed to do a reference check on you.

I did not contact your reference on March 12th in order to give him two days to return my call. Since he did not, I left a second voice mail asking him to call me at around 3:00 p.m. on this date. I told him that I was doing a reference check on you and couldn't offer you a job without talking to him first.

Your reference did not respond to the second voice mail I left on March 13th so I phoned him around 10:00 a.m.; 11:00 a.m.; 1:00 p.m. and 3:00 p.m. Each time I reached his voice mail. Around 4:00 I left a third message asking him to phone me. I again told him I was doing a reference check on you.
